Administrative Assistant

Full-Time Days

*** $13.50/hr to $15.30/hr Based on Experience ***

Department: Belmont Tower - Assisted Living

Status: Full-Time - working 40 hours per week

Shift: Days (8:30am - 5pm)

The Administrative Assistant supports our mission and values by providing clerical support to facility staff and acting as the initial contact person at the main entrance.

The Administrative Assistant's primary responsibilities will include:

  • Answers telephone, determines nature of call, and directs caller to appropriate individual or department. Answers main switchboard calls as needed.
  • Assists with administrative duties as directed including typing, copying, faxing, and distributing incoming faxes, utilizing the computer, etc.
  • Files, collates, and arranges various information packets.
  • Receives, sorts, and collates mail for distribution to residents and Village personnel. Forwards mail to responsible parties as directed.
  • Stamps/records outgoing mail. Operates stamp machine and notifies supervisor when additional postage refill is needed. Performs bulk mailings as needed.
  • Provides directions/information to visitors, guests, residents, salesmen, surveyors, etc. Assists with guest/resident sign in and guest/resident sign out procedures.
  • Reports equipment malfunction/breakdown immediately.
  • Orders supplies for receptionist area, copy room, and administrator as needed.
  • Receive and process payments relating to billing, deposits and other items as assigned.
  • Maintain cash box and petty cash box and record in Point of Sale system.
  • Maintains strict confidentiality of all resident and Village personal information.
  • Creates flyers, invitations, calendars, newsletters, daily menus, activity sheets and other items as assigned.
  • Ordering supplies for all departments as needed.
  • Directs all marketing calls and drop in tours to the appropriate staff.
  • Takes minutes at assigned and scheduled board meetings as needed and when requested.
  • Maintain all Caring Club appeals and mailers.
  • Receives direction for maintaining and working on endowment/foundation events. Whether it is a mailer or live event, assist when needed for organization and schedules.
  • Performs other duties as assigned by the Director of Housing.

What do I need for this role?

  • Must be at least 18 years of age.
  • High school diploma/GED required.
  • Proficiency in Microsoft Office products, including Excel, Word, Publisher & PowerPoint required.
  • Prior administrative experience preferred.
