Hennebery Eddy Architects seeks an Office Administrator to perform a variety of receptionist and administrative tasks, provide general staff support, and represent our firm in a professional manner. To be successful in this role, you should be proactive, well-organized, have great time-management skills, and take pride in creating an exceptional first impression with both external and internal customers. This is an in-person position in our Bozeman, MT office and requires attendance in the office Monday through Friday approximately 30 hours per week.

Responsibilities

  • General staff support including proofreading; mail and delivery coordination; small equipment check-outs.
  • Open office for daily operations.
  • Phone reception and front door attendance.
  • Office hospitality including ordering and stocking supplies, making coffee, cleaning conference rooms, setting up and breaking down meetings.
  • Manage office-wide event calendar; schedule annual and quarterly office events, including off-site events, internal gatherings, and open houses.
  • Manage paper files and architectural drawings and coordinate on- and off-site archiving.
  • General office maintenance coordination with vendors and building management.
  • Oversight of office appearance.
  • Assist with new hire onboarding as needed.
  • Assist with conference room hardware support, workstation set up, and troubleshooting as needed.
  • Provide administrative support to managing principal/firm officer.

Qualifications

  • Minimum of one year of experience in a similar role.
  • Demonstrated customer service-oriented attitude and skills.
  • Excellent oral and written communications skills.
  • Prior experience in a position that handles confidential information.
  • Experience using typical office equipment.
  • Proficiency in Microsoft Office Suite.
  • Experience using a multi-line "soft" phone system a plus.
  • Able to lift boxes and files up to 50 pounds.
  • Minimum of two references preferred.
  • A background check will be conducted.
