Job Description
Position Summary: The Administrative Assistant will provide support in the daily tasks associated with the administrative operations of the agency.
Duties and Responsibilities:
- Provide administrative support.
- Responsible for handling reception for our community space.
- Manage main agency phone line.
- Respond to telephone/email inquiries and requests in a timely fashion.
- Manage agency main email address and mail daily.
- Maintains an inventory of supplies and ensures inventory and supplies are adequate for the agency.
- Provide basic computer support as needed.
- Assist in maintaining inventory spreadsheet.
- Assist in maintaining office equipment.
- Provides tallying and reporting for activities.
- Customer relations - foster and maintain relationships with state, community partners, vendors, and guests.
- Provides support to staff during programs, projects, training, and special events.
- Meeting logistics, minutes as needed.
- Proofreading, copying, faxing, filing, mailing, note taking.
- Other duties as required.
Qualifications:
- Proven track record in outstanding customer service.
- Strong communication skills both written and verbal.
- Excellent organizational skills with keen attention to detail and ability to prioritize.
- Time management skills.
- Ability to work independently and take initiative with varied and demanding tasks.
- Ability to troubleshoot and problem solve.
- Cross-cultural skills and experience with culturally diverse populations.
- Knowledge about addiction recovery a plus.
- Experience working in a non-profit environment a plus.
- Skill in the use of personal computers and related software applications. (ex. Microsoft Office, Word, Excel, PowerPoint). Willing to provide training in this area.
