Job Description

Position Summary: The Administrative Assistant will provide support in the daily tasks associated with the administrative operations of the agency.


Duties and Responsibilities:

  • Provide administrative support.
  • Responsible for handling reception for our community space.
  • Manage main agency phone line.
  • Respond to telephone/email inquiries and requests in a timely fashion.
  • Manage agency main email address and mail daily.
  • Maintains an inventory of supplies and ensures inventory and supplies are adequate for the agency.
  • Provide basic computer support as needed.
  • Assist in maintaining inventory spreadsheet.
  • Assist in maintaining office equipment.
  • Provides tallying and reporting for activities.
  • Customer relations - foster and maintain relationships with state, community partners, vendors, and guests.
  • Provides support to staff during programs, projects, training, and special events.
  • Meeting logistics, minutes as needed.
  • Proofreading, copying, faxing, filing, mailing, note taking.
  • Other duties as required.


Qualifications:

  • Proven track record in outstanding customer service.
  • Strong communication skills both written and verbal.
  • Excellent organizational skills with keen attention to detail and ability to prioritize.
  • Time management skills.
  • Ability to work independently and take initiative with varied and demanding tasks.
  • Ability to troubleshoot and problem solve.
  • Cross-cultural skills and experience with culturally diverse populations.
  • Knowledge about addiction recovery a plus.
  • Experience working in a non-profit environment a plus.
  • Skill in the use of personal computers and related software applications. (ex. Microsoft Office, Word, Excel, PowerPoint). Willing to provide training in this area.
