POSTITION OVERVIEW
The Office Coordinator will assist with Independent Living Program (ILP) office services. This position will require the ability to multi-task and coordinate front desk procedures. Position duties include general maintenance of the ILP reception, conference room, and community spaces. Greeting youth, staff, Child Welfare Workers and visitors at the door, answering the phone and directing calls appropriately and providing general administrative assistance to program staff including, but not limited to: data entry, mailings, processing required paperwork, and other similar tasks.

ESSENTIAL DUTIES AND RESPONSABILITIES
  • Positively and professionally represent the BE including, but not limited to, greeting youth and visitors and routing them to the appropriate agency/ staff person.
  • Maintain control of front desk, monitor youth and guests’ behavior/interactions in the reception area to ensure safety.
  • Coordinate with security at the front desk to ensure each visitor is properly signed in and that they are being served in a timely and appropriate manner.
  • Work with ILP management to ensure front reception, conference rooms, kitchen and community spaces are clean, organized, inviting and ready-for-use by staff and participants
  • Administrative duties include recording and distributing stipend payments, gift cards and transit passes and record keeping.
  • Program support including managing workshop attendance, data entry in our database system and utilizing program tools to track youth data
  • Maintain strict confidentiality as it pertains to youth and other sensitive data/information.
  • Assist with request for services data entry and the creation of new client files.
  • Coordinate the use of the Chrome Laptops to be checked out by youth with ILP staff and instructors.
  • Maintain office and sanitary supplies at the front.
  • Monitor youth supplies inventory, putting in requests to ensure supplies are available for youth.
  • Organize front desk space and ensure supplies are stocked, including refilling the printer/copier.
  • Maintain ILP kitchen to be clean, tidy, and organized.
QUALIFICATIONS
  • Youth-driven
  • A high school diploma or GED required, bachelors or college degree a plus.
  • At least 2-3 years' experience working in a fast paced, high traffic
  • At least 2-3 years' experience working in customer service and direct service.
  • Experience in office management a plus.
  • Strong computer skills, including experience using such platforms as Slack, Outlook, Asana, Word, and Excel.
  • Highly organized and has an ability to perform tasks independently and with quick turnarounds.
  • Exceptional communication and administrative skills.
  • Demonstrated ability to work well independently and as a member of a team
  • A problem-solving and positive approach to work.
