POSITION TITLE:
Executive Administrative Assistant

DEPARTMENT: Administration - Headquarters

LOCATION: Sacramento, CA

REPORTS TO: Executive Officer

COMPENSATION: $61K - 69K


The Cooperative Agricultural Support Services (CASS) is a Joint Powers Authority that provides human resources and administrative support services. CASS’ program activities include agricultural inspection, pest prevention, and other programs administered by CDFA, county agricultural commissioners, and other public agencies. Our current work includes:


  • Agricultural Commodity Grading Program
  • Grading using County, State, and Federal standards
  • Emergency Pest Detection Trapping and Survey program
  • Professional Develop and Educational Training


We seek an enthusiastic and eager-to-learn Executive/Legal Assistant to join our Headquarters Team. This position reports directly to the Senior Executive Officer.

Requirements:


  • Executive Assistant with at least 3 years experience required; and/or prior experience as a paralegal or legal assistant desirable
  • Highly proficient in Microsoft Office including MS Outlook, Word, and Excel; virtual conferencing software; and Acrobat Editor
  • Excellent interpersonal and communication skills
  • Mature problem-solving and decision-making skills
  • Able to work independently and manage multiple priorities
  • Strong writing and editing skills. Able to write clearly and concisely using correct spelling, grammar, and punctuation
  • Excellent time management, project management, and organizational skills
  • Ability to maintain confidentiality and handle conflict in a tactful and professionally


ESSENTIAL JOB FUNCTIONS:

  • Manage the day-to-day tasks of the Executive Officer.
  • Effective phone and email etiquette while communicating with clients, board members, and field staff.
  • Ability to work effectively in an environment involving rapidly changing priorities while completing numerous tasks and/or special projects simultaneously and maintain a professional, friendly, and cooperative composure.
  • Maintain a virtual calendar, schedule Executive level meetings, and take/transcribe meeting notes as needed.
  • Arrange business travel for executive and senior management personnel. Track executive credit card usage and process receipts or payment.
  • Prepare the Executive Board packets for board meetings, formatting, inputting, editing, and reviewing.
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters, documents, and emails.
  • Determines priorities, manages time, monitors progress, problem-solves, and adjusts plans accordingly.
  • Retrieve and/or deliver necessary documents to agency partners and perform other errands as needed; and complete projects and special assignments.
  • Attendance, punctuality, and dependability are essential to this position.


COMPENSATION:

  • Full-Time Regular, Exempt.

PHYSICAL REQUIREMENTS:
